Time Clock Software: Phasing Out Time Clock Attendance Systems
By Charles Wilkinson

Time clocks for clocking employee attendance times were invented a hundred years ago, but have now become outdated and been replaced with time clock software. That relic of the Industrial Revolution, which kept track of hundreds and thousands of employees, used a clock to time the arrival and departure of employees in order to process payrolls, and it lasted a century.

Replaces Manual Functions

Now, time clock software and computers have replaced the manual functions. Most basic time and attendance systems provide for routine log-in and log-out of employees just like time clocks. But, rather than the employee stamping a time card, he or she need only swipe a magnetic card through a reader or simply sign in on his or her computer. The computer can then, with the help of time clock software, calculate hours worked by each employee and automatically report to Human Resources, thereby doing away with paperwork considerably as well as eliminating errors.

To prevent other employees from signing in their friends at work, some systems make use of biometric input devices. Rather than using a card, the employee has to use his or her fingerprint or handprint to sign in.

There is even provision for companies having remote locations to let their employees utilize touch-tone phones or the Internet in order to report hours worked. In the case of a salaried employee that does not require punching in and punching out, there is still sick days, holidays, vacation time, and more that needs to be calculated and companies have turned to software to enter their information.

Time clock software allows the company to accurately track employee times, and it also takes the load off Human Resources. Managers can get easy access to the employee data as well as be able to audit information to check for accuracy. Time clock software also offers schedule management, as well as enables the company to track tardiness and also helps identify patterns of absenteeism.

A major benefit of using time clock software is that it enables the company to dramatically check “time theft,” which is a practice of employees over-reporting the hours worked. It may be as simple as rounding up the hours worked, or stretching break times to go beyond their scheduled duration. A small increment of five to ten minutes of added time can cost the company dear.

Time clock software may also be affordable to use, and are available for different sized companies. It should be able to provide basic reporting, as well as connection with payroll systems. Thus, this software is indeed very efficient.
